Restocking Strategies for Vacation Rentals

As a vacation rental owner or manager, ensuring your properties are well-stocked is crucial for guest satisfaction.   • Where to purchase the item

  • Ordering details (e.g., specific brand or type)
  • Preferred payment method (consider saving a credit card on file for efficiency)

2. Implementing Restocking Triggers

To maintain optimal inventory levels, establish two types of restocking triggers:

Trigger Level

Set a specific low point for each item that signals the need for restocking. For example, reorder toilet paper when there are only 5 rolls left.

Piggyback Level

Identify items that can be restocked together to reduce transaction costs. If you're already placing an order for one item, check if nearby items are close to their trigger levels and consider restocking them simultaneously.

3. Setting Target Inventory Levels

Determine the ideal quantity of each item to maintain after restocking. This helps prevent overstocking and ensures you have enough supplies between restocking cycles. Additionally, set maximum price limits for items to control costs, unless a higher price is absolutely necessary for guest satisfaction.

4. Establishing a Restocking Workflow

Implement a streamlined workflow for efficient restocking:

  1. Assign a concierge or team member to manage the restocking process.
  2. Use the predefined restocking instructions to place orders manually.
  3. Tag items that need restocking in your inventory management system.
  4. Email detailed instructions to the person responsible for ordering.
  5. Track restocking events on an inventory page for future reference and analysis.

5. Optimizing Delivery and Stocking Processes

Choose the most suitable delivery and stocking method for your properties:

  • Direct shipping to a central location with no further action required
  • Shipping to a central location with a task created for the operations team to stock items
  • Direct shipping to the property with a task created for on-site handling
  • Timing deliveries to coincide with cleaning turnovers between guests
  • Booking separate restocking jobs for specific items or sending a dedicated person for restocking

6. Setting Restocking Preferences

Decide on your preferred restocking timeline:

  • Between guest stays: This minimizes disruption but may require more frequent restocking.
  • As soon as possible after guest arrival: This ensures items are always available but may inconvenience guests.

By implementing these strategies, you'll create an efficient restocking system that keeps your vacation rentals well-supplied and your guests satisfied. Regular review and adjustment of your restocking processes will help you optimize inventory management and reduce operational costs over time.
