The Best AI Property Management Software for Long-Term Rentals (2026)

There are a bunch of tools compared in the long-term rental market. Honestly, almost all of them are tools. They are variations on a PMS, or they solve one narrower problem like leasing messages or maintenance.

The PMS systems are great if you want to manage things yourself and you just want to be organized to do that. If you really want a hands-on approach, those are good.

A quick way to sort the options

Buildium or DoorLoop

Smaller, hands-on portfolios

AppFolio or Entrata

Larger and multifamily teams

EliseAI

Maintenance, make-readies, and mixed strategies

The PMS systems

Buildium and DoorLoop are good places to start for a smaller or midsize long-term portfolio. They organize accounting, leasing, tenant records, payments, and maintenance requests. AppFolio and Entrata go deeper for larger teams and multifamily portfolios.

Of course, the problem with these systems is that they are very much designed around human operations. They have been incorporating more AI, but fundamentally they were built from the ground up for human operations. The AI helps the person operating the PMS. It does not replace the need for that operator.

That is fine if you want to operate the portfolio yourself or already have a team. I would pick among them based on portfolio size, accounting needs, and whether the team actually likes using the system. I would not pick one because it has the longest list of AI features.

The narrower AI tools

EliseAI is the best-known example of an AI tool for leasing and resident communication. STAN.AI, Showdigs, Revela, Rentvine, and Lula cover other parts of leasing, communication, and maintenance.

I am not sure it is helpful to rank all of those as if they do the same thing. If leasing messages are taking up the team’s time, look at EliseAI. If maintenance is the problem, look at the maintenance products. A feature can save time without turning the product into a property manager.

What is actually hard in long-term operations?

Long-term rental customers have various cleaning and maintenance needs that require attention and work from property owners, managers, or operations teams. The main needs are emergency maintenance, preventative maintenance, and turnovers.

Emergency maintenance

A maintenance request is made; how do you get the maintenance request out to people? How do you follow up with them to get it done? If you have a vendor list, who would you call, and who do you like to use? If they do not have anybody in that area, or somebody is not available, you need to find a vendor to get it done in an emergency. That coordination is the real work.

Preventative maintenance

First of all, it is knowing what you need to do. Most people do not track manuals or have sophisticated schedules. The second challenge is tracking what has been done and what needs to be done on a calendar. It is not rocket science, but it is hard to actually implement. It is hard enough that very few people really do it.

Turnovers and make-readies

A long-term turnover is not the same-day cleaning between Airbnb guests. There may be an inspection, painting, carpet cleaning, repairs, a deep cleaning, another inspection, and a refresh cleaning if the property sits on the market. It can be three jobs or it can be ten. Somebody still has to connect them and make sure the property is ready for the next tenant.

Where TIDY fits

TIDY can collect and track maintenance issues, send the work to existing vendors, help find someone when the normal vendor is unavailable, build preventative maintenance schedules, and coordinate the jobs inside a make-ready.

For long-term-specific accounting, leasing, and screening, the dedicated PMS systems go deeper. Many owners use both. They keep the long-term records in the PMS and use TIDY for the cleaning and maintenance operation.

Vacation rental management is definitely TIDY’s sweet spot, so I am happy to do long-term rentals, but Airbnb is better. The reason to use TIDY across rental types is that the same property can move from short-term to mid-term or long-term without rebuilding the operating system around it.

The bottom line

Use Buildium or DoorLoop if you want a hands-on PMS for a smaller portfolio. Look at AppFolio or Entrata for a larger team. Add EliseAI when leasing conversations are the bottleneck. Use TIDY when the hard part is cleaning, maintenance, make-readies, or running more than one rental strategy.
