Rental Applications & Approval

When someone applies to rent one of your units, their application appears in the Leasing pipeline for review. Each application brings the applicant’s details, the channel it came from, and a screening report together in one place, so you can make a decision and move straight to a signed lease.

Collecting Applications

From a Vacant or Applications unit, use Share application link to copy the public application link — send it to a prospect, or paste it into your listing. For by-the-room units there’s a per-room equivalent, Share Room Application Link, so applicants apply to a specific room.

Applications arrive tagged with the source channel they came through (“via Zillow”, “via PadSplit”, and so on), so you can see which listing sites are actually producing renters.

What’s in an Application

Opening an application shows the applicant’s full submission:

  • Applicant — name, email, and phone.
  • Move-in — desired move-in date and lease term.
  • Money — monthly rent, stated monthly income, and whether the application fee is paid.
  • Employment — employer and job title.
  • Household — current address, number of occupants, and pets.
  • Context — reason for moving, submission date, and source channel.
  • Screening report — the screening result inline, covering credit, criminal and eviction history, and income-to-rent ratio. See Tenant Screening for how these reports work.

Housing Choice Voucher Applications

When an applicant uses a Section 8 Housing Choice Voucher, the application also collects the PHA, voucher identifier, issue and expiration dates, approved bedroom size, household size, portability status, and the voucher or RFTA packet. A reasonable-accommodation request goes to a private workflow instead of appearing in the ordinary screening view.

TIDY separates the PHA’s program decision from the tenancy decision. The PHA determines whether the family has valid assistance and later approves the proposed tenancy. TIDY applies your lawful screening policy to the applicant as a tenant; voucher status itself is never treated as an approval or rejection signal.

Approving a voucher applicant opens the Section 8 lease-up case for PHA paperwork, rent approval, inspection, and agreements. It does not skip directly to an ordinary lease.

Application Statuses

Every application starts Applied → Screening → Approved or Declined. An ordinary approval continues to Lease Sent → Signed. A voucher approval continues through PHA Setup → Request for Tenancy Approval → Rent Approval → Inspection and Tenancy Approval → Agreements → Active. The application and Section 8 case remain linked, so the ordinary lease status never hides an unfinished PHA gate.

Making a Decision

Your application settings tell TIDY which decisions it can complete and which need your review. From an application, TIDY can:

  1. Approve & continue the correct lease-up workflow. An ordinary applicant moves to eSignature; a voucher applicant moves into PHA approval.
  2. Request review. Route an exception outside your approved policy or TIDY’s authority to you with the relevant facts and criteria.
  3. Decline or offer different terms. Record the policy reason and send any notice required when a consumer report contributes to an unfavorable action.

Adverse-action notices are required by law. Because screening reports are FCRA-regulated consumer reports, TIDY sends the required adverse action notice automatically when a consumer report contributes to a denial or other unfavorable action. You approve the screening policy and TIDY applies it under your management settings. Screening and fair-housing requirements vary by jurisdiction; legal exceptions are routed for qualified review.

After Approval

TIDY advances an ordinary approval to the lease package and tracks signatures under Leasing. A voucher approval moves first to PHA tenancy, rent, and inspection approval, then to its linked lease, addendum, and HAP package. The unit becomes Occupied only on the move-in date authorized for that workflow; Finance then uses either a standard ledger or the voucher tenancy’s two-payer ledger.

You define TIDY’s authority. TIDY can complete routine application decisions that clearly match the policy you approved, while preserving your review for exceptions. PHA program eligibility and approval remain PHA decisions.
