Custom Fields

Custom Fields are a way for you to collect information from pros who are on site. This is commonly used for taking inventory (Restocking) or for inspections (see Inspections).

We recommend having our success team set this up for you. It is free, and an easy way to make sure you are successful. You are welcome to do it on your own as well.

The way you create a custom field is to:

  1. Add or edit a to-do
  2. Tap "Add Custom Field"
  3. Type a "Field Label", which is what the pro will see. Examples include: "Count the number of plates" or "Is there mold?".
  4. Select a "Field Type". Your options are:
    • Take Inventory. If you select this option, the pro will have the ability to input a number of how many of an object there are. For example, if asking them to "Count the number of plates", they might enter "10". This will update the current quantity of that item, and then trigger a low stock alert if it is below the minimum quantity.
    • Text Area. This allows pros to enter some free text into a form. They can type whatever they want.
    • Select. This allows you to set options for a pro to choose from. This is displayed as a radio button if the number of elements is less than 3, and displayed as a dropdown if it is 3 or more. For example: "Is there mold?" might have 2 answers "Yes" or "No".
    • Multi-Select. This is effectively checkboxes, and it allows users to submit multiple options. For example: "Select all of the following:" With options "Breaker lock is functional" "Breaker shows no rust" would allow them to select one or both options.
    • Take Photos. This requires the pro to take a photo of something, but they can also take multiple. For example: "Take a photo of the fuse box" would allow them to take that photo. It will show up in your Job Report after it is done.

For the "Text Area" and "Take Inventory" fields, there's a 40-character limit for the Field Label.

Custom fields are not mandatory by default, which means that Pros can complete the job even if they don't add anything to the required fields.

However, if the custom fields are essential for the job, we do offer the option of making them mandatory. This means that the pro will not be able to finish the job unless all fields are complete with all required information.

To set that, just select the to-do from your list, tap "Settings" and toggle the "Require Custom Fields" switch. Then, on each custom field, mark the option "Make this required for the pro".

Mandatory Custom Fields for Job Completion

Our timestamp and location system is a powerful tool, frequently used to resolve disputes on platforms like Airbnb with a high success rate. In addition to photos, job reports contain other valuable location data, providing robust evidence for your records. However, requiring photos for job completion comes with potential challenges and considerations.

Potential Challenges:

In rare cases, Pros may encounter legitimate issues that prevent them from uploading photos on-site, such as:

  • Phone battery depletion
  • Lack of internet connectivity
  • Forgetfulness

You will need to decide how such situations should be handled. For example:

  • Allowing manual overrides with sufficient explanation
  • Requiring Pros to revisit the job site

We recommend the following Workflows

  1. Encourage On-Site Photo Uploads: Instruct your team ("Pros") to upload photos on-site to ensure compliance with job requirements. Emphasize that failure to do so may necessitate a return trip to the job site.
  2. Post-Job Compliance Checks: After job completion, review the uploaded photos to verify compliance. If photos are missing or inadequate, send a message to the Pro instructing them to revisit the site and upload the required images.

By collaborating with us and providing clear workflows, we can help you achieve optimal outcomes for your operations. Let us know your requirements, and we'll find the best solutions to meet them effectively.
