The Scheduling Agent is an AI-powered assistant that automatically handles job scheduling, booking, and calendar management. It works around the clock to ensure your properties are always serviced on time.

What the Scheduling Agent Does

The Scheduling Agent takes the work out of coordinating cleaning and maintenance schedules. It can:

  • Auto-book turnovers - Automatically schedule cleaning jobs when reservations are detected from your PMS
  • Find replacement pros - When a pro cancels, immediately find and book a replacement
  • Optimize timing - Schedule jobs at the best times based on checkout/check-in windows
  • Handle conflicts - Detect and resolve scheduling conflicts before they become problems
  • Reschedule when needed - Automatically adjust jobs when guest reservations change
  • Balance workloads - Distribute jobs across your pros fairly and efficiently

How It Works

The Scheduling Agent operates continuously based on your configuration:

  1. Reservation Monitoring - Watches for new, changed, or canceled reservations from your connected PMS
  2. Job Planning - Determines what jobs are needed based on your rules (e.g., turnover cleaning, mid-stay cleans)
  3. Pro Matching - Finds the best available pro based on your preferences, their availability, and acceptance probability
  4. Booking - Sends job requests and handles the confirmation process
  5. Monitoring - Tracks job status and takes action if issues arise

Configuring the Scheduling Agent

Customize the Scheduling Agent through your automation settings:

  • Booking rules - Define when jobs should be created (e.g., on checkout, before check-in)
  • Time windows - Set preferred start times and buffer times around guest arrivals
  • Pro priorities - Specify which pros should be tried first for each property
  • Fallback options - Configure what happens if preferred pros are unavailable
  • Notification preferences - Choose when to be notified vs. when the agent should handle things silently

Viewing Agent Activity

See all scheduling activity in your Schedule view. Jobs created by the agent are marked so you can easily track what's been automated. You can also view the agent's decision log to understand why specific scheduling choices were made.

Manual Override

You can always override the Scheduling Agent's decisions. Edit any job it creates, reassign to different pros, or cancel and rebook manually. The agent will respect your changes and not override them.
